Tip: always write the amount in words. "Tk 18,000" can be altered to "Tk 19,000" with a single stroke; "Eighteen thousand taka only" cannot be changed so easily.
Template 2: Shop and Commercial Rent Receipt
Market owners and commercial landlords usually need more detail: shop number, floor, service charge, and sometimes a note about VAT or tax deducted at source. Template 3: Advance Rent and Security Deposit Receipt
The single most disputed payment in Bangladeshi tenancies is the advance or security deposit (jamanat). Months or years later, both sides remember a different number. A separate, clearly worded receipt at move-in prevents that. Sometimes a tenant pays part of the rent now and promises the rest later. Many landlords refuse to issue a receipt until the full amount arrives. Suppose the October bill for Flat 4A is: rent Tk 22,000, service charge Tk 2,500 and sub-meter electricity Tk 1,850. Total due = 22,000 + 2,500 + 1,850 = Tk 26,350. The tenant sends Tk 15,000 by bKash on 5 October and promises the rest on 20 October.

Many tenants now pay through bKash, Nagad or bank transfer and never meet the landlord in person. A short text confirmation is a practical receipt, especially for tenants who work abroad or pay on behalf of family. Keep it factual:

How to Number and File Your Receipts
A receipt without a number is just a note. Numbering is what turns a stack of paper into an audit trail. Pick one system and stick to it for years.

- Never skip or reuse a number. If you spoil a receipt, write "CANCELLED" across it and keep it.

- Keep records for several years. Tax and legal questions can come up long after a tenant leaves; ask your tax adviser how long you should keep them.
Handling bKash, Nagad and Bank Payments on a Receipt
Mobile and bank payments are convenient but create their own confusion: a payment may come from a relative's number, or the amount may include a cash-out charge. A few rules keep things clean.
- Record the transaction ID (TrxID) or bank reference on every receipt. This is how you match the receipt to your statement.
- Record the sender number if it differs from the tenant's registered number, for example "paid from 017XXXXXXXX (tenant's brother)".
- Decide who bears charges. If your agreement says rent must reach you in full, and a tenant sends Tk 20,000 but a charge reduces what you receive, note the shortfall on the receipt rather than silently absorbing or disputing it later.
- Issue the receipt only after the money is confirmed in your account or wallet, not on the strength of a screenshot. Fake payment screenshots do circulate.
- Cheques: write "subject to realisation" on the receipt, or issue it only after the cheque clears.
Printable layout tips
If you print receipts yourself, a little layout discipline makes them look professional and harder to forge.
- Use A5 or half-A4 size with two copies per page: "Tenant copy" and "Office copy".
- Put your name or building name at the top in bold, with a phone number.
- Pre-print the receipt numbers if you use a printing press; otherwise write them before handing out.
- Leave enough space for the amount in words; cramped writing invites disputes.
- If you use a rubber stamp or seal, stamp across the signature so it cannot be cut and pasted.

Common Mistakes With Rent Receipts
- No period stated. "Received Tk 20,000" without a month makes it impossible to say which month was paid.
- Lumping everything together. Rent, service charge, electricity and arrears in one figure causes arguments when one item is disputed.
- Issuing receipts before money arrives. Especially with cheques and mobile transfers.
- Refusing receipts for partial payments. It hurts you as much as the tenant.
- Using different names. If the flat is jointly owned, say who received the money on behalf of whom.
- Treating a deposit like rent. Mixing security deposit and advance rent on the same receipt, without saying which is which, is the root of most move-out disputes.
- Not keeping a copy. The tenant's copy protects the tenant; your copy protects you.
- Backdating. Write the real date of receipt. If a payment is late, the receipt should show that honestly.

Paper, Excel or Software?
A carbon receipt book works for one or two tenants. Once you have a building with ten or twenty units, the effort of writing, numbering, filing and matching receipts against bKash statements grows quickly, and so do mistakes. A spreadsheet helps with the register but still needs someone to create each receipt by hand.
